SUMMARY OF POLICIES
Following is a summary of our policies for private igloo rentals. Please read the full details below regarding the policies enforced for all Igloo rentals.
21+ - All igloos must be rented by an individual 21 years of age or older. If guests under 21 will occupy the igloo, arrangements must be made in advance, in writing, with our Guest Services Leadership Team.
Rental Times – You must depart your igloo by the end time of your rental. If you have booked more than one timeslot, you must have written confirmation from Maxwell Mansion to stay in your igloo between time slots.
Use – Private Igloo rentals MAY NOT BE USED FOR EVENTS, including but not limited to weddings, vow renewals, dinners with catered food, etc. The rentals are intended for informal gatherings. Furniture may not be removed or added to the igloo, including tables and chairs. If you would like to use an igloo for an event, please call our event team to book your event.
No Carry-In Beverages – Absolutely no carry-in beverage (alcoholic or non) is allowed. We offer a free water station in the Apothecary.
No Outside Food – we are pleased to offer a selection of flatbreads, sandwiches, and appetizers. At the start of your rental, we will open a tab for you. You may order from our food menu on your mobile device, and we will bring it to your igloo.
No Smoking or Vaping inside the Igloos; a $300 fee applies for violating this rule.
Bar Hours - Drinks will be available at either the Apothecary Bar or Speakeasy based on operating hours. Please check operating hours as the Apothecary Bar is typically not open on Thursday, so you would need to visit the Speakeasy to get your drinks. We do not guarantee cocktail/drink service directly to your igloo, so please be prepared to place your order and receive your drinks from the bar.
Terrace Igloos Only – The large front igloo may only be reserved if booking a private event.
Violation of these policies may result in loss of your rental period, without a refund and/or removal from property.
GUEST CAPACITY: Our terrace igloos have a maximum capacity of 15 guests at a time per Igloo, no exceptions. This limit is set for your safety and in connection with the fire code.
IGLOO USE: Private Igloo rentals are intended for informal gatherings only. If you are holding an event or bringing in non-permitted outside food (see the Outside Food policy below), you must have a private event agreement booked through our event sales team. Furniture may not be removed or added to the igloo, including tables and chairs. Event amenities such as linens, tables, event chairs, candles, etc., are not included. For clarity, private igloo rental MAY NOT BE USED FOR EVENTS, including but not limited to weddings, vow renewals, dinners with catered food, etc. If you reserve an igloo and show up intending to hold a private event in the igloo, you will be subject to a $1,500 event fee plus a 20% service charge and all applicable taxes.
DEPOSIT: The entire rental amount, including all taxes and fees, is due at the time of booking.
CANCELLATIONS & CREDITS: For bookings made at least two days in advance, you may cancel within the first 24 hours of making the reservations without penalty. You may cancel at least 7 days before your booking start time and pay a $25 cancellation fee and receive a refund for the remaining amount of your booking. You may also change your booking, see Date/Time Changes for more details. Within 7 days of your booking start time, the booking is non-refundable; however, you may be able to change it.
DATE/TIME CHANGES: Please call if you wish to change your date/time. We will do our best to accommodate if changing at least 48 hours before your booking time. You will be responsible for any changes in rental fees based on the new date selected. Refunds are not issued if the rental price is lower. Bookings must be changed to within the same igloo rental season (typically November to March) of your original booking date.
ARRIVAL: Visit Guest Services in the Mansion at the start of your Igloo Rental time to check in. Please note that we cannot accommodate early arrivals based on your selected time.
DEPARTURE: At the conclusion of your rental time, please leave the Igloo in a clean and orderly manner as you found it upon your arrival. You do not need to visit our team upon the conclusion of your rental period.
PARKING: Parking in our lot is reserved for HOTEL GUESTS ONLY on Friday, Saturday, Holidays, and Special Events. If you are not a hotel guest or have visitors who are not hotel guests, we kindly ask that you park on the street. Please note that overnight parking is not permitted on streets within Lake Geneva between November 15 and March 15. Parking on Baker and Cass St is free.
NO OUTSIDE FOOD: Carry-in and outside food is NOT permitted. Maxwell Mansion offers a food menu 7 days a week. Therefore, absolutely no outside food is allowed on the property, except in hotel rooms. You may not bring in food in bulk, such as catering menu orders, or use a catering company unless you have booked a private event with our events team. If, for medical reasons, you need to bring your own food that we do not offer, arrangements must be made in advance in writing with our Guest Services Leadership Team.
NO OUTSIDE ALCOHOLIC BEVERAGES: NO outside Alcoholic Beverages are permitted on the property. All of our public spaces are covered by our liquor license, allowing guests to enjoy their favorite drink from our bars throughout the property. Wisconsin state liquor license law prohibits bringing your own beverage and the consumption of alcohol purchased outside of the property to be consumed in areas covered by our license – which includes our entire grounds, the pool, and all public spaces within the Mansion. You are allowed to consume outside beverages in your Hotel Room only. While staying with us, please respect the law and visit our licensed on-site outlets, such as the Apothecary Bar or Speakeasy for alcoholic beverages. If our Bars are closed, our Guest Services team will be more than happy to serve you with a limited menu. You will be asked to keep any outside beverages in your hotel room once. If this request is not complied with forthwith, a $300 fine per incident will be applied to your hotel folio, outside alcoholic beverages will be confiscated, and/or you will be asked to leave the property. If, for medical reasons, you need to bring your own non-alcoholic beverages, arrangements must be made in advance in writing with our Guest Services Leadership Team.
SMOKING AND ILLEGAL SUBSTANCES: Smoking, Vaping, or Gaseous consumption of organic materials (i.e., Marijuana) is strictly NOT allowed in any guest room, igloos, or public spaces. However, in our desire to accommodate all guest needs, we ask that smokers discretely use the designated outdoor areas. There is a minimum $300 cleaning fee automatically assessed for any smoking violation. As a reminder, the use of Marijuana within the State of Wisconsin is illegal, and we have zero tolerance for illegal substances to be on our premises, including but not limited to our grounds, vehicles parked on our grounds, hotel rooms, and public spaces. If you are found to have an illegal substance, you will be asked to leave the property and forfeit all deposits/prepaid amounts.
PETS: Dogs are welcome in our Igloos for private rentals. Please contact our Guest Services team to arrange. Please note we reserve the right to limit the number of dogs in an Igloo at a given time. Dogs that are disrupting other guests may be asked to leave.
CHILDREN & YOUTH: Our property is designed for adult travelers 21 and over, and our liquor license covers our entire property. Please understand that while we love children, we love to have them stay at your home as our guests look to escape from the realities of home, work & family life. To ensure our guests under 21 may enjoy their experience, we may ask them to wear a wristband to notify the staff we have already confirmed they are under 21. You must be 21 to consume alcohol on the property.
TAXES & FEES: All igloo rentals are subject to a 5.5% State Tax.
DAMAGES: The Maxwell Mansion is filled with beautiful pieces, both antique and designer. You will find exquisite fabrics, quality linens, and heirloom carpets throughout our home, and we hope you enjoy them as much as you respect them. In the unlikely event that damage occurs to items within the property, either by accident or otherwise, you will be responsible for the cleaning, repair, or complete replacement of damaged items.
If any provision of these Policies is held to be invalid or unenforceable, the validity, legality, and enforceability of the remaining provisions of this Note will not be affected or impaired. You hereby accept all the aforementioned policies by accepting the Terms and Conditions of this reservation.
